POSITION OVERVIEW

The Excellent Group of Companies is looking for a Property Manager. In this position, you will be responsible for the efficient management and smooth operations of properties owned by the Excellent Group of Companies (the Group), including tenant/relationship management, facilities, sales and marketing. Through a “hands-on” leadership style, you will also be responsible for cultivating and leading a customer-focused, sales-driven, results oriented team, in an effort to provide a world-class (shopping) experience throughout the Group’s shopping malls and any other affiliate properties.


 

KEY RESPONSIBILITIES

Property Management:

  • Work with the COORE to develop and execute strategies that focuses on asset preservation and life cycle costs and reflects revenue generation/expense reduction opportunities from properties owned by the group.
  • Accomplish financial objectives by forecasting requirements, preparing an annual budget, scheduling expenditures, analyzing variances and initiating corrective action.
  • Maintain property rentals by advertising and filling vacancies, negotiating and enforcing leases, and maintaining and securing premises.
  • Co-ordinate routine schedule maintenance work to be completed by the Maintenance department and or external contractors based on inspection reports and ensure records are accurately maintained, and all issues resolved.
  • Ensure that all safety and health regulations are adhered to by tenants and licensees and all users of the group’s facilities.
  • Work with the Head of Security to ensure the efficient management of all aspects of security operations.
  • Work closely with the Executive Chairman on all construction and capital improvement projects, ensuring completion in a timely and cost-effective manner.
  • Provide general oversight and management of the carpark and lotto operations including but not limited to weekly audit checks, rostering, spot checks, adherence to policies and procedures etc.

Sales and Marketing:

  • Work with the COORE to establish sales objectives, develop sales targets and forecast projected profits.
  • Work with COORE to design and implement a strategic business plan that expands the Company’s real estate customer base and ensure its’ strong presence in the marketplace, working with the Marketing department as needed.
  • Work with the COORE and the Marketing department to implement marketing, branding, promotion and advertising strategies for the Group’s malls and other properties to entice customers and prospective tenants/licensees.
  • Handle all aspects pertaining to marketing vacant properties, including overseeing activities to advertise and market successfully to procure tenants/licensees.
  • Conduct local market research to ensure general awareness of all competitive malls and other facilities including opening hours, rents, entertainment, promotions and other activities, and submit recommendations to COORE.
  • Work with the Marketing department to execute all promotions and annual events in the malls. (E.g., Mother’s Day, Father’s Day, Anniversary, Christmas, etc.).

Tenancy and Relationship Management:

  • Create a client database and regularly reach out to prospective tenants/licensees. Set up meetings and events to provide prospective clients with detailed, tailored information to help them understand why the Excellent Group of Companies should be their real estate partner of choice.
  • Procure tenants ensuring a complimentary mix of tenants according to the aims and offering of the Mall by advertising vacancies, obtaining referrals, explaining advantages of location and services and showing units.
  • Procure licensees by advertising and filling vacant units, keeping rental at optimum capacity.
  • Manage rent receivables and ensure accuracy in billings and tenant/licensee Account records; pursue all necessary and appropriate action available by law, for the collection of rent arrears. This includes but is not limited to calling tenants/licensee, issuing rental arrears notices and meeting with tenants/licensees to create payment plans if necessary.
  • Prepare new and renewed tenancy/licensee lease agreements and maintain all related correspondence.
  • Co-ordinate and schedule the acceptance and handover of premises to and from tenants/licensees and ensure that all and any damages with the exception of wear and tear are deducted from the tenant/licensee Security deposit as well as outstanding arrears, if any.

Leadership/People Management:

  • Coach and motivate direct reports through continuous training to develop their skills to ensure that a high professional standard is achieved and KPI targets are met.
  • Drive and develop the performance of the team with a view to optimize output and achieve objectives whilst effectively managing performance issues.
  • Ensure that work is planned and organized with measurable deliverables with timelines.
  • Work closely with all relevant cross-functional departments to ensure optimal results.
  • Function as part of the Management team of the business, demonstrating the Company’s values and taking ownership for contributing towards the execution of the Company’s vision and strategies.

 

JOB REQUIREMENTS

Knowledge/Experience:

  • Bachelor’s Degree in Business or General Management.
  • Five (5) CXC O’ Level passes including Mathematics and English.
  • At least three (3) years’ experience in a similar position.
  • Real Estate experience will be considered an asset.
  • Technical savvy- advanced skills in MS Office applications.
  • Knowledgeable in FIU Regulations and Procedures.
  • In-depth knowledge of all aspects of lease agreements/contracts.
